Setting an expiry date for a Resource is a part of the process when you upload a new Resource Document to your system. When you're entering the information to accompany the document, there is the option to set up an expiry date. This is good to use in the case of keeping updated with documents over time, to make sure that they are current.


You can edit the expiry date and User groups that will be notified of the expiring Document by going to Resources > View Resources > Edit the Resource Document > enter the Expiry Date > scroll to the Authorization settings for the document > select the checkbox(es) of the User groups you want to be notified.





Asset documents often have updates over the long term, so older versions of those documents may not be valid. Having an expiration date and notification set up for your resource is also very useful for documents that have a clear expiry / renewal date, such as vehicle registrations, insurance renewals and so on.


The system will then send a Reminder for resources that are about to expire, as a prompt for you to check for any new information and take action and / or update the document as required. This helps to ensure that your database is current and correct by automatically reminding you of what is coming up, so that you do not have to try to remember to check back all the time.
